Tasks / Responsibilities
• Supervision of the Reception area, including the Shop
• Supervision of and training of Reception team
• Plan and monitor working hours of Reception team
• Manage all incoming and outgoing mail and phone calls
• Prepare and ensure smooth check-in and check-out processes
• Serve as the central source of information for all passengers and handle Shop sales transactions
• Perform all administrative duties in accordance with company standards (daily closing, cruise
closing, monthly closing)
• Currency exchange service
• Handling cash payments
• Provide general administrative support to the Hotel Manager
• Manage and resolve guest complaints effectively
• Handle and prepare customs regulations based on border police regulations
• Implement cost control measures for Reception and Shop within the budget
• Conduct stock takes and inventory following company procedures
• Prepare the ship for opening and closing at the beginning and end of the season
• Assist in other departments as directed by supervisors when necessary
• Adhere to company standards and HACCP rules
• Participate in loadings and document the received items with other Head of Department
• Ensure proper stock storage and establish par levels
• Actively engage in onboard training programs
• Participate in departmental "Daily meetings"
Requirements
• Minimum of 2 years of professional experience in a similar role as Head of Department
• International experience, preferably on a river ship
• Proficiency in written and spoken English and German is required
• Strong computer skills, including familiarity with Office, Resco, or Opera hotel software, along
with administrative experience
• Exceptional organizational and communication abilities
• Self-motivated with the capacity to work independently, prioritizing guest satisfaction
• Flexibility and the ability to handle stress
• Familiar with a multicultural working environment
• Familiar with travelling in Europe independently
• POS system experience is mandatory
